Role Overview

This is a full-time, on-site role in Singapore for a Junior Operations Executive. The Junior Operations Executive supports the execution of

physical refined petroleum product trades

. The role focuses on ensuring smooth coordination of logistics, documentation, and settlement across the trade lifecycle.

You will work

closely with the Operations Manager on a day-to-day basis

, as well as with traders and finance, to ensure efficient and accurate cargo execution.

Key Responsibilities

Operation Execution & Documentation

  • Handles day to day logistics & scheduling communication with 3

rd

parties.

  • Input and maintain accurate trade data in internal systems
  • Verify trade details against trader recap (pricing, volume, laycan, Incoterms)
  • Assist in drafting

sale and purchase contracts

for trader’s review.

  • Maintain organized and auditable trade files

1. Logistics & Scheduling

a. Coordinate cargo movements including:

  • Vessel nomination and acceptance
  • Laycan and loading/discharge scheduling

b. Liaise with:

  • Suppliers and buyers
  • Shipbrokers and vessel operators
  • Inspectors and terminal operators

c. Monitor cargo progress and proactively flag:

  • Delays
  • Operational deviations
  • Potential demurrage exposure

2. Operational Control & Issue Management

a. Perform checks on:

  • Contractual terms vs actual execution
  • Quantity and quality discrepancies

b. Support preparation of documentation for:

  • Demurrage calculations
  • Operational claims

c. Escalate issues promptly to

Operations Manager

and traders

3. Invoice & Settlement Support

a. Coordinate with Finance to:

  • Verify invoices against contractual terms
  • Ensure completeness of supporting documents (e.g., Bill of Lading, Certificate of Quantity/Quality)

b. Track cargo-related receivables and payables

c. Assist in resolving operational discrepancies impacting settlement

4. Internal Policy Adherence

a. Ensure all operational activities are conducted in line with

company internal policies and procedures

b. Maintain proper documentation and records for internal control and audit purposes

c. Support implementation of operational best practices and controls

5. Internal Coordination

a. Work closely with:

  • Operations Manager (primary reporting and daily coordination)
  • Trading desk
  • Finance / Treasury

b. Provide timely updates on cargo status and operational risks

Requirements

Education & Experience

a. Bachelor’s degree in Business, Logistics, Maritime, Finance, or related field

b. 0–3 years experience in:

  • Commodity trading operations
  • Shipping / maritime logistics

c. Fresh graduates with strong interest in energy trading operations are welcome

Technical Skills

a. Basic understanding of:

  • Physical trade lifecycle
  • Incoterms and shipping documentation

b. Proficiency in Excel (tracking, reconciliation)

c. Exposure to CTRM systems is a plus

Soft Skills

a. Strong attention to detail

b. Ability to manage multiple cargo timelines simultaneously

c. Clear communication with internal and external stakeholders

d. Ability to work under time-sensitive conditions
